Set up mileage rates

Configure the rates Apron uses to calculate mileage claims for your team.

Why mileage rates matter

When an employee submits a mileage claim, Apron calculates the amount to reimburse by multiplying the distance travelled by the rate you’ve set up for that vehicle type. Setting these up correctly — and keeping them current — makes sure your team are reimbursed accurately and your books reflect the right amount.

HMRC AMAP rates

Most UK businesses reimburse at HMRC’s Approved Mileage Allowance Payments (AMAP) rates, which are tax-free up to those limits. The current rates are:

  • Cars and vans — 45p per mile for the first 10,000 business miles in a tax year, then 25p per mile after that.

  • Motorcycles — 24p per mile.

  • Bicycles — 20p per mile.

Set up your rates

  1. Go to Settings > Company settings > Mileage rates.

  2. Default rates are pre-populated for cars and vans, motorcycles, and bicycles based on HMRC AMAP rates.

  • To edit or delete any rate, click the three dots next to it.

  • To add a custom rate, click Add mileage rate in the top-right corner.

Note: Only Admins and Owners can add and edit mileage rates.

Updating rates

When you update a mileage rate, the change applies to all new claims submitted from that point onwards. Existing claims keep the rate that was in effect when they were submitted, so historical reimbursements stay correct.
