Clarifying Apron’s billing changes

Check what’s changing with Apron’s billing starting 1 June.

Following the email shared on 1 May about changes to how Apron bills, we’ve had a few questions about the new setup. Here’s a simple breakdown of what’s changing and why.

You’re still in control – here’s what’s changed (and what hasn’t)

We’ve recently added more flexibility around billing, but we understand it might feel like an impact to control. Let’s clear that up.

Here’s the key thing to know:

If you’re just using Capture, nothing’s changed, your practice will still be billed as before, and your clients won’t be billed.

What’s new?

When you add a new client:

  • They’re added to your Capture plan – billed to your practice, just like before.

  • They’re also assigned the Go plan – this is free by default and only becomes billable if payments are used.

By default:

  • If payments are used, the Go plan is set to be billed to the client.

  • This doesn’t mean clients are now billed automatically.

Please note - Clients are never billed automatically for anything unless payment tools are used. You can change who pays for Go plan overages from your Practice Hub.

What about existing clients?

Clients previously on the Starter plan are on this new default setup only if they've never used payments. In this case:

  • Their Capture usage continues to be billed to your practice.

  • The Go plan is set to client billing by default — but just like with new clients, this does not mean those clients will be billed. It remains free and inactive unless payments are used.

If payments have already been used, the new default did not apply and their billing setup is unchanged.

So while the setup has changed to give you more flexibility, nothing will be billed without action. You stay fully in control of who pays for what.

How do plans work now?

There are two separate parts to Apron billing:

1. Capture plan – £5/month per client

Always billed to your practice. This gives access to:

  • Practice Hub for managing clients

  • Document collection and Capture

  • Approvals and bookkeeping tools

This is applied for every client you actively manage through Apron. It’s capped at £199/month for up to 200 clients.

Please note - Clients added before 1 May, that were not using Capture, are included for free.

2. Company plan – Go / Essential / Pro

Billed to your client by default (unless you choose to cover it). This gives them access to tools like:

  • Bill pay

  • Payroll

  • Expense cards

Plan pricing:

  • Go – Free.

  • Essential and Pro – Paid.

Please note - If your client is on a paid plan and linked to your practice, the £5 Capture fee is deducted from their price – so you’re never double-charged.

Document and payment allowances

We’ve updated the allowances across Capture and client plans to make things clearer and fairer:

Capture

  • Starting at £5 and 250 documents /month per client, the Capture Plan gets cheaper and more documents are included based your Books Club partner programme tier.

  • Getting to the Gold tier in our new Books Club partner programme gives you 500 documents per client – the same as the previous allowance.
    Here is more information on the Books Club and discounts. The Books Club is designed to make Apron even cheaper for you and your clients.

Apron cards

  • On the Go plan, your client can use up to 10 Apron cards at no extra cost

  • Upgrading to a paid plan gives your client access to an unlimited number of Apron cards

Supplier payments

  • The Go plan now includes 5 supplier payments per month (this used to be 0).

Payroll runs

  • On the Go plan, we’ve adjusted free payroll payments from 50 to 20 per month, based on real usage across most accounts.

  • If you need more, higher-tier plans cover it – or you can keep clients on the free Go plan and pay overages at £0.30 per additional payroll payment over 20.
