If your OCR provider has raised their prices and you're thinking of switching, you can use this email template as a starter for informing your clients. We hope that you'll find it useful.

Hi [ ],

I hope this message finds you well.

We are writing to inform you of a significant change that will impact our current service provision. Our software provider [ ] has recently announced a price increase of 62%. Since we introduced this platform in 2018, we have absorbed the costs associated with its use to provide you with this valuable tool free of charge.

However, due to this considerable price increase, we regret to inform you that we will no longer be able to supplement the cost of [ ] as we have done previously.

We understand the importance of cost-effectiveness for your business and are fully committed to continuing to provide you with affordable and high-quality services. To this end, we have decided to provide two options going forward:

1. Continue using [ ] at a cost of £10 plus VAT per month, which will be added to your current fees taking effect form 1st September 2023 onwards.

2. Switch to a reliable alternative software [ ]. We have thoroughly tested this platform and found it to be a competent substitute that will meet your needs. This option will be provided at no additional cost to you.

Our goal is to ensure that this transition is as smooth as possible for your business. If you choose to switch to [ ], our team will provide full support in terms of setup, training, and any questions you may have.

We appreciate your understanding in this matter and sincerely apologise for any inconvenience caused. If you have any questions or if there's anything else you would like to discuss, please do not hesitate to get in touch.

Please can you confirm by 14th August 2023 which option you would prefer, if we don't here from you we will keep you on [ ] to prevent disruption to your business and charge you for it at £10 plus VAT a month.
