Set up a submission policy for Apron Card transactions

Choose which details, like description or category, your team must add when submitting Apron Card receipts.

With a submission policy, you decide which details your team needs to add when submitting receipts for Apron Card transactions. Spenders can still capture and submit their receipt straight away — they just won't be able to mark it as fully complete until the required details are added.

Set up your submission policy

Go to Settings > Company settings > Submission policy, then select the Card transactions tab. Here you can turn on any of the following fields to make them mandatory:

  • Description

  • Category

  • Tracking categories – if you're connected to Xero, or Classes and locations – if you're connected to QuickBooks

  • Tax rates

All fields are optional by default, so you can switch on only the ones your business needs.

Note: Submission policy can be set up by Owners and Admins from the desktop.

How it works for your team

Once you've chosen your mandatory fields, anyone submitting an Apron Card receipt — on mobile or desktop — will see these fields marked as required. They can still capture their receipt and submit it right away. If a required field hasn't been filled in yet, the transaction will show as Missing details until it's completed.

You'll also see this reflected in the weekly reminder emails your team receives, which will prompt them to add receipts and details until everything's complete. And in your Expenses > Card transactions overview on desktop, you'll see a Details status for each transaction, so it's easy to spot what still needs attention.
