Export Apron Card transactions to Xero/QuickBooks Online

Learn how to export your Apron Card transactions to the accounting software or desktop.

Managing your Apron Card transactions with your accounting software is straightforward, with different approaches depending on which platform you use.

Xero-connected companies

If your company is connected to Xero, the completed Apron Card transactions are posted to Xero automatically.

They appear under the 'Apron Wallet' bank account in Xero, similar to any other bank account, which is created automatically when the first card is issued.

Don't see your Apron Card transactions in Xero?

You may need to reconnect to Xero to enable automatic posting of transactions to Xero. This only needs to be done once. Here's how:

  1. Go to the Expenses > Transactions tab on the desktop

  2. Click Sync transactions

The sync can be done by any member with an Owner or Admin role.

QuickBooks-connected companies

If your company's connected to QuickBooks, you can manually export your Apron Card transactions to CSV and upload them to QuickBooks for reconciliation.

When the first card is issued, Apron automatically creates an 'Apron Wallet' account in your QuickBooks chart of accounts.

Note: Unlike Xero, Apron Card transactions cannot be synced directly to QuickBooks Online due to limitations in QuickBooks Online's API. You'll need to export and manually import your card transactions into QuickBooks.

To get your transactions into QuickBooks:

  1. Go to Home, then Wallet.

  2. Click Download statement, choose the dates and the file format (CSV or PDF)

  3. Open QuickBooks and go to the Bank transactions section to manually upload transactions into QuickBooks Online.

The transactions will then be ready for reconciliation.

Note: Your downloaded report includes all Wallet activity for the selected date range — not just card transactions. This can include top-ups, payruns, rewards, ATM withdrawals, fees, and refunds. If you're only reconciling card spend, you'll need to remove the non-card rows manually before uploading to QuickBooks

Companies not yet connected to Xero or QuickBooks

You can still view and export your Apron Card transactions and wallet activity as a CSV report or a PDF statement, even if your company isn't connected to Xero or QuickBooks.

  1. Go to Home, then Wallet to view all the card and wallet transactions.

  2. To download a report of the transactions, click on Download statement, choose the dates and the file format (CSV or PDF)
