Set up an account for data capture only

Learn how to set up an Apron account specifically for invoice capture to digitise your invoice processing.

Setting up an Apron account for invoice capture only is quick and straightforward. You'll be up and running in minutes.

What you'll need

  • Business or charity trading name.

  • Access to your Xero or QuickBooks account, if applicable (you can also use Apron without it).

  • Email address for your login.

To set up your capture-only account

  1. Create your account – Sign up at getapron.com with your email address.

  2. Enter your business details – Provide your business or charity trading name.

  3. Connect your accounting software – Link your Xero or QuickBooks account, or continue without it.

  4. Start uploading – Send invoices to your Apron account via email, WhatsApp, our mobile app or drag-and-drop.

Connecting your accounting software

If you’re using Xero or QuickBooks, you can connect it when setting up your account:

  1. During setup, choose Connect Accounting App.

  2. Select either Xero or QuickBooks.

  3. Enter your login details to authorise the connection.

  4. Once connected, you can upload and publish documents in any currency your accounting software supports.

Note: You can also connect Xero or QuickBooks at any point later on.

Account activation

Capture-only accounts are activated immediately, so you can start uploading invoices straight away. Simply click on the I’ll do this later button when asked for your company’s details.

Note: We encourage you to complete the full verification straight away – it doesn’t take long. Once complete, you’ll be ready to go once you decide to start using payments.

What you can do with invoice capture

  • Upload invoices via drag-and-drop, email forwarding, our mobile app or WhatsApp.

  • AI automatically extracts supplier details, amounts, dates, and line items.

  • Review and edit extracted data before publishing.

  • Publish directly to your Xero or QuickBooks account or export the data.

  • Handle invoices in any currency supported by your accounting software.

Getting started tips

  • Test with a few invoices first to see how our AI handles your suppliers.

  • Set up your unique email address for forwarding invoices.

  • Download our mobile app to capture receipts on the go.

  • Train your team on the new process.

Enabling Payments

If you didn’t complete the verification process during signup, but would like to do so in order to use payments, simply:

  1. Go to your Settings > Company settings and open the Company details section.

  2. Here you’ll be able to add additional company information to verify your account.

  3. Once you provide all the required details, your account will typically be verified immediately. If we need additional information, verification may take up to one business day.

Your invoice capture setup will continue working exactly as before.
