How it works
When you pay through Apron, the money leaves your account and appears as a line in your FreeAgent bank feed. It usually shows Apron Payments Ltd and your payrun reference.
In FreeAgent, a bill is marked as paid once a bank transaction is explained as a payment of that bill. Until you explain the transaction, the bill will show as unpaid in FreeAgent. Automatic reconciliation is coming later this year, so soon you won’t need to do this step yourself!
Explain an Apron payment in FreeAgent
In FreeAgent, go to Banking and open the bank account you used to pay.
Find the unexplained transaction showing Apron Payments Ltd and your payrun reference.
Open it and choose Bill payment as the type.
Select the bill you paid and save.
The bill is now marked as paid in FreeAgent.
Payruns with more than one bill
If you paid several bills in one payrun, they’ll show as a single line in your bank feed. To explain it, split the transaction across the bills:
In FreeAgent, open the unexplained transaction.
Click Adjustments, then Split transaction.
Split the amount across each bill until the total matches the bank line.
Select the bill for each part and save.
To see which bills were in a payrun, open the payment in Apron and check the payrun details, under the Pay > Bills > Payments section.
Common issues
Can’t see the bank line? Check the bank feed for that account is connected and up to date in FreeAgent.
Can’t find the bill when explaining? Check the bill exists in FreeAgent and is still unpaid. If it was created in Apron, go to Settings > Company settings > Accounting app and click Refresh.
Bill already paid? If the bill shows as paid but the bank line is still unexplained, it may have been explained against a different transaction. Open the bill in FreeAgent to see which payment it’s linked to.
