Intermediary bank fees
When payments are routed through the SWIFT network, intermediary banks along the route may deduct their own processing fees. These charges come from the banks handling the transfer, not from Apron, and can apply in two ways:
When you fund a payment – If you send us funds in USD or EUR via bank transfer, your bank may route the transfer through SWIFT. Intermediary banks can deduct fees before the funds reach us, meaning we receive less than you sent.
When we pay your recipient – For international payouts sent via SWIFT, intermediary banks can deduct fees before the money reaches your recipient, meaning they receive slightly less than the invoice amount.
In both cases, the exact fees can't be calculated in advance because they depend on the currency, destination country, and which banks are involved.
How to reduce the risk of SWIFT fees: Where possible, use local payment rails instead of SWIFT. For funding, send EUR via SEPA transfer or USD via ACH rather than an international bank transfer. For payouts, providing your recipient's local bank details (such as a local account number rather than just an IBAN) can help route the payment through local rails instead of SWIFT.
When SWIFT is required, make sure all recipient bank details are accurate and complete - including their SWIFT/BIC code and full address - to avoid bounced payments and additional charges.
Understanding exchange rates and payment timing
When you create an international payrun, the GBP amount updates based on live exchange rates at key moments:
When you first create the payrun
Each time someone opens the payrun during the approval workflow
When the payer views the payrun before funding
Important: The GBP amount can change between creation and payment if exchange rates fluctuate. However, we always send the full invoice amount in the recipient's currency - the GBP cost adjusts to ensure your suppliers receive exactly what they're owed.
Example: You create a payrun to pay €500, showing ‘Send £420.00’. If approved three days later, when rates have moved, it might show ‘Send £421.05’. The supplier still receives the full €500 - only your GBP cost changes.
Why amounts show as ‘approximate’
International payruns display an ‘approximate’ banner because exchange rates change constantly throughout the day. The final GBP amount is confirmed when you fund the payment using current market rates.
Required information
Full name and address of the recipient, IBAN or local account number, BIC/SWIFT code for their bank, and name and address.
Note: If you make a bank transfer and notice that the BIC shown in your bank is in the following format: CLRBGB22XXX instead of APPYGB22XXX (as displayed on Apron), there’s no need to worry. Both BICs are valid and will work without issue. We will still receive your payment, whether it is in GBP, EUR, or USD.
How we send payments
We use SWIFT transfers for most international payments, SEPA transfers for EUR payments in Europe (faster and cheaper), and all payments are tracked and secure.
We automatically handle sanctions screening, compliance monitoring, secure encryption, and full audit trails, so you don't need to worry about regulatory requirements.
