Receipts often land in someone else's inbox: your client's, the business owner's, or a teammate's. Only the person who can sign in to an inbox can connect it. Send them a share invite link so they can connect it, and William can start finding missing documents there.
Before you start
The person you invite needs an Apron account, and they need to be a member of the company.
If they're not a member yet, invite them first. See Invite the business owner or Add and manage your clients.
Share the invite link
On the web, open Share invite link from Missing documents (in the banner, or in the Connect an email window) or from Settings › Email search.
Click Copy to copy the link, or click WhatsApp or Email to send a ready-written message that includes the link.
Anyone in the company can share the link, including accountants from your practice.
What the person you invite sees
They open the link and sign in to Apron.
They see a page saying you've invited them to connect the Gmail or Outlook inbox where their receipts usually arrive.
They click Continue, choose Gmail or Outlook, and sign in to grant Apron read-only access.
Once they've connected their inbox, William searches it whenever a transaction is missing a document. The inbox shows under Connected emails for everyone in the company.
Good to know
The link doesn't expire. You can send the same link again as a reminder.
The link doesn't give access to the company. It only works for people who are already members.
Nothing is connected until they finish. The person you invite still needs to sign in to their email provider and approve access.
Pricing: email search is free until 1 December. After that, new pricing applies – check the details in our article: Apron pricing is changing on 1 December.
Troubleshooting
They see "You don't have access"
The person isn't a member of the company, or they've signed in with a different Apron account. Make sure they've accepted their Apron invite and are signed in with the right account, then open the link again.
They use Microsoft 365 and can't connect
Their organisation may require an admin to approve Apron first. Ask their IT admin to approve the request, then try again.
They use a shared mailbox, or a provider other than Gmail or Outlook
These aren't supported yet. Only individual Gmail and Outlook accounts can be connected.
