Apron pricing is changing on 1 December

See what's changing for bookkeeping plans, client company plans and Apron Books Club.

Apron's pricing changes on 1 December 2026. This article covers everything that's changing, in two parts:

  • Bookkeeping plans, for practices managing clients' books through Apron

  • Company (payments) plans, for businesses connected to a practice and for anyone using Apron without one

If you're a practice, it's worth reading both. The client plan changes affect what you can offer your clients, too.

Why we're changing pricing

When we launched Capture in 2024, AI was largely treated as an added extra. Today it isn't. AI sits at the core of data capture, workflow execution and decision-making across the payments lifecycle.

We don't think our partners should have to choose between basic OCR software and frontier technology. William AI moves out of tier-restricted access and becomes part of the core Capture product. It's no longer limited to Silver tier and above in Apron Books Club. Every accountant, bookkeeper and business on Apron gets it.

To support that continued investment in AI, we're updating our pricing structure from 1 December 2026.

Bookkeeping plans for practices

Today there's a single Capture plan at £5 per client per month. From 1 December it's being split into three plans, renamed Books:

  • Books Core – £5 a month. The entry price is unchanged, for standard clients. Includes 100 documents a month, then 20p per document.

  • Books Plus – £11 a month. For larger clients. Includes 250 documents a month, then 10p per document, plus a connected email inbox and the missing documents workflow.

  • Books Max – £21 a month. For your largest and most complex clients. Includes 1,000 documents a month, then 5p per document, plus a connected email inbox and the missing documents workflow.

Every plan comes with 50 payroll payments and 5 supplier payments a month, plus card access to match your client's needs — 5 cards on Books Core, and unlimited cards on Books Plus and Books Max.

We've kept the £5 entry price for standard clients. Books Plus and Books Max sit above it to reflect the higher volume, complexity and value of larger client accounts, and they include the workflow tools built to solve one of bookkeeping's biggest headaches: chasing down documents a client hasn't sent.

Each client sits on one plan, and you can move a client between plans at any time from 1 December. You can also switch billing so a client pays for their Books plan directly, rather than it appearing on your practice invoice.

What counts as a document

One invoice, one receipt, or one page of a bank statement.

Protecting pricing for our existing partners

Our existing partners have been instrumental in helping us build and refine both William AI and Apron. To honour our original commitment, we're keeping the £199 cap for existing Gold and Platinum partners who are on the cap by 1 December.

If that's you, all of your existing clients are automatically upgraded to Books Max, our highest plan, at no extra cost. Clients you add after 1 December are billed on top of the cap.

Gold can be reached with 50 active clients, or with as few as 7 clients with deep platform adoption.

What's changing in Apron Books Club

Document allowances now come from the plan a client is on, rather than from your Books Club tier.

Your Books Club discount applies to any plan billed to your practice. It doesn't apply to plans billed directly to your clients, or to overages and add-ons.

Company plans

Every business using Apron sits on a company plan. What's changing depends on whether that business is connected to a practice.

Clients connected to a practice

Today, a client's company plan and the Capture plan your practice pays for sit separately. From 1 December they don't. Each client sits on one plan: either a Books plan or a Payments plan.

Client plans are becoming Payments plans

Clients on Essential or Pro stay exactly where they are. The plans are being renamed, and that's the only change:

  • Essential becomes Payments Core – £29 a month. 50 payroll payments and 50 supplier payments.

  • Pro becomes Payments Plus – £49 a month. 100 payroll payments and 100 supplier payments.

There's also a new plan, Payments Max at £99 a month, with 250 payroll payments and 250 supplier payments, for clients making a higher volume of payments each month.

Same price, same monthly payment allowance, same features. Everything on Books Max will be included too, at no extra cost. Plans include 1,000 documents with extra charged at 5p.

Businesses using Apron without a practice

Your plan doesn't change unless you choose to upgrade. The plans are being renamed:

  • Go becomes Payments Lite – free. 50 payroll payments and 5 supplier payments.

  • Essential becomes Payments Core – £29 a month. 50 payroll payments and 50 supplier payments.

  • Pro becomes Payments Plus – £49 a month. 100 payroll payments and 100 supplier payments.

There's also a new plan, Payments Max at £99 a month, with 250 payroll payments and 250 supplier payments, for businesses making a higher volume of payments each month.

Prices and payment allowances on Core and Plus are unchanged, and all paid plans include William AI bookkeeping, a connected email inbox and the missing documents workflow.

Document allowances on paid plans

Payments Core, Plus and Max each include 1,000 documents a month. Documents above that are charged at 5p per document.

What's changing on Payments Lite

From 1 December, Payments Lite includes 5 documents a month, and anything above that is 20p per document.

The Apron Card allowance is also changing, from up to 10 cards to 5. This covers virtual and physical cards together.

Note: Documents linked to a payment you make through Apron, either an Apron Card transaction or a Bill Pay payment, can still be published without counting towards the 5-document allowance. So, everyday card and bill payment use isn't affected.

Dates

  • 1 December – the new plans and pricing take effect

  • 31 December – last day to change a client's plan or switch billing before your first invoice

  • 5 January – first invoice under the new pricing

Do you need to do anything?

If you're a practice: not today. Before 1 December, it's worth looking at how many documents your clients process, so you have a sense of which plan suits each of them. Your Client usage view shows each client's average monthly document count over the last 90 days.

If you use Apron without a practice: not today either. Your plan doesn't change unless you choose to upgrade. If you're on Payments Lite, check how many documents you upload in an average month and how many Apron Cards you're holding, so you can judge whether the other Payments plans are a better option.

If you're a client of a practice:

  • If your practice manages and pays for your plan: nothing to do.

  • If you pay for Essential or Pro yourself: nothing changes. Your plan is being renamed to Payments Core or Payments Plus, at the same price with more features.

  • If you're on Go: Confirm with your practice what plan works best for you.

Common questions

Is my price going up? It depends on your tier and on how many documents your clients process. For many practices, the price per client is unchanged at £5. What changes is what that £5 includes, and whether any of your clients go over their allowance.

What happens if I do nothing? Your clients will be moved onto a Books plan automatically on 1 December, and you can change any client's plan from that date. Nothing stops working.

Is the £199 cap still available? If you're an existing practice at Gold or Platinum and you're on the cap by 1 December, you keep it. Accounts created after 1 December are billed per client with no cap.

How do I reach Gold? Gold comes with 50 active clients, or with as few as 7 clients with deep platform adoption.

Can I move a client between plans? Yes, at any time from 1 December.

Can my clients pay for their own plans? Yes. From 1 December, you can switch a client's Books plan so they're billed directly rather than through your practice invoice. Your Books Club discount doesn't apply to plans billed directly to a client.

How do overages work? Each plan includes a monthly document allowance. Anything above it is charged per document: 20p on Books Core, 10p on Books Plus, 5p on Books Max. Allowances and overages are calculated monthly.

Will I know before a client goes over their allowance? Yes. We'll prompt you in Apron before a client reaches their allowance, so you can move them up rather than pay an overage.

What's happening to my clients on Go, Essential or Pro? Essential and Pro are being renamed to Payments Core and Payments Plus, and prices are unchanged. Go is being retired for clients connected to a practice, so any client still on Go on 1 December moves to Books Core at £5 a month.

Should I upgrade from Payments Lite? Only if it works out cheaper. Payments Core is £29 a month and includes 1,000 documents. On Payments Lite, you'd pay 20p per document above the first 5. The two cost about the same at roughly 150 documents a month, and below that, staying on Payments Lite costs less. Payments Lite also includes only 5 supplier payments a month against 50 on Payments Core, and 5 Apron Cards against unlimited, so it's worth checking those too.

Can I connect an email inbox on any plan? Yes. A connected email inbox is included on Books Plus, Books Max and all paid Payments plans. On any other plan, including Books Core and Payments Lite, you can add one for £5 a month. Additional inboxes beyond the first are also £5 a month each.
