Understand subscription costs for practices

Learn about Apron's pricing structure for accounting practices and how costs are calculated.

Apron subscriptions have two parts:

  • Your Practice plan (Capture) – This is billed to your practice. It gives you access to your Practice hub, lets you link and manage clients centrally, and includes bookkeeping workflows like document capture and approvals.

  • Company plans (Go, Essential, Pro) – These are assigned to your clients and give them access to payment features (Bill pay, payroll, Apron Card). They're billed to your clients by default, but you can choose to cover the costs.

When you add a new client to your practice, they're automatically added to your Practice (Capture) plan, so you can manage them from your Practice hub and use invoice capture.

We put them on the Go plan by default —they can start using payments if they choose. If they use payments, their company will be billed (unless you decide to cover the cost).

Current pricing structure

Practice (Capture) plan pricing

  • Price: £5/month per client. Capped at £199/month for up to 200 clients (£1 per client beyond 200).

  • Payer: Always billed to your practice.

  • Features included: Practice hub for managing clients, document collection and capture (starting at 250 documents per client per month), and approvals and bookkeeping tools.

Company plan pricing

Go plan

  • Price: Free.

  • Payroll payments: 20 per month (£0.30 per additional payment)

  • Supplier payments: 5 per month (£1.20 per additional payment)

  • Cards: Up to 10 virtual cards and physical cards

  • Accounting sync: QuickBooks and Xero sync included, plus automatic data extraction if the client is on your Practice (Capture) plan

Essential plan

  • Price: £29 per month

  • Payroll payments: 50 per month (£0.30 per additional payment)

  • Supplier payments: 50 per month (£0.80 per additional payment)

  • Cards: Unlimited virtual cards and physical cards

  • Accounting sync: QuickBooks and Xero included, plus automatic data extraction

Pro plan

  • Price: £49 per month

  • Payroll payments: 100 per month (£0.30 per additional payment)

  • Supplier payments: 100 per month (£0.50 per additional payment)

  • Cards: Unlimited virtual cards and physical cards

  • Accounting sync: QuickBooks and Xero included, plus automatic data extraction.

Managing billing responsibility

  • Practice (Capture) plan: Always billed to your practice

  • Company plans: Billed to clients*

*You can change this – Move company plan billing to your practice account and cover client costs yourself. You can set this up by going to Billing > Company plans.

Billing and payment

Monthly billing cycles – All subscriptions are billed monthly during the first week of each month for the previous month's usage.

Payment methods – Direct Debit, Credit/Debit Card. Change your payment anytime in Settings > Billing.

Invoice details – Detailed invoices show practice fees, client fees, and any transaction charges separately for easy accounting.
