Manage your clients' subscriptions

Learn how to manage, monitor, and adjust your clients' Apron subscriptions from your practice account.

Efficient subscription management helps to make sure that you and your clients get the best value for money out of Apron.

Understanding client subscription management

Practice oversight – As a Practice hub Admin, you have full visibility over all of your clients' subscription statuses, and can make changes on their behalf.

Billing responsibility – Practice (Capture) plan: Always billed to your practice. Company plans: Billed to clients by default, but you can choose to cover costs.

Automatic setup for new clients – When you add new clients, they're automatically added to your Practice (Capture) plan (billed to your practice), assigned the free Go plan, and set to client billing by default for company plans.

How to manage client subscriptions

Accessing subscription management – From your Practice Hub, go to the Billing section, then to the Company plans tab, and view all clients with their current subscription status.

Available actions – Select one or more companies and click:

  • Move to practice account – Transfer company plan billing from client to your practice.

  • Move to client’s account – Transfer company plan billing from your practice to the client.

  • Change plan – Update the company subscription plan (only available if your practice pays).

Managing billing arrangements

Practice-paid subscriptions – If your practice covers client subscriptions, all charges appear on your monthly invoice, with clear client-by-client breakdowns provided. You stay in control of the plan changes and upgrades.

Client-paid subscriptions – When clients pay directly, you maintain oversight of their subscription status. They receive their own billing and invoices, but you can still monitor usage and provide guidance.

Mixed arrangements – You can have different arrangements for different clients based on your agreements with them.

Important billing notes

Timing of changes – Any changes to a client's billing account apply from the 1st of the following month.
