I run a practice. Can I manage subscriptions on behalf of my clients?

Absolutely. As a Practice, you can manage subscriptions on behalf of your clients.

Most Practices set up a default client plan so that any newly added clients are automatically subscribed to the selected plan, paid for by the Practice. To do that: go to 'Billing' > 'Practice billing details' and check 'Automatically use Practice billing account for all new companies'. Under the ‘Default plan’ section you can choose the plan you’d like to subscribe all new companies to.

You can also set up and edit the subscription for your clients individually. Check how to do that below.

Managing subscriptions:

You can manage subscriptions for all of your clients from the Hub page. Once you are here, go to the 'Billing' section.

Here, you'll see 3 tabs:

  • Plans - A list of your clients together with details of their subscriptions.

  • Practice billing details - The payment method and billing details used to pay for any subscriptions billed to your practice.

  • Invoice history - Access invoices for any subscriptions billed to your practice.

Changing payer / Changing subscription plan:

  1. Go to the 'Billing' section from your Practice hub view.

  2. Make sure you are in the 'Plans' tab.

  3. Select one or more companies you’d like to edit the subscription for, by clicking on the multi-select box on the left side of the screen, next to the company’s name. You can also select all the companies on the list, by clicking on the upper-most multi-select box on the left side of the screen.

  4. Once selected, click on:

    • 'Move to practice account' - to change the subscription from being paid by the client, to being paid by your Practice.

    • ‘Move to clients account’ - to change the subscription from being paid by your Practice, to being paid by the client.

    • Change plan’ - to update the subscription plan for the company. Check all the available plans and their pricing on our website here. Keep in mind that this option is only active if your Practice pays for the client’s subscription.

  5. Confirm the change.

Note: Any changes to a client’s billing account will apply from the 1st of the following month.

Setting the plan for new clients who do not yet have a subscription:

  1. Once your client is onboarded, go to Practice Hub.

  2. Select 'Billing'.

  3. Select one or more companies you’d like to choose the subscription for, by clicking on the multi-select box on the left side of the screen, next to the company’s name. You can also select all the companies on the list, by clicking on the upper-most multi-select box on the left side of the screen.

  4. Click 'Move to practice account'.

  5. After moving a client, make sure the company is still marked and press 'Change plan'.

  6. Select the plan you would like to subscribe the company to and click 'Choose'. Check all the available plans and their pricing on our website here.

  7. To confirm the subscription, click 'Confirm'.

Note: If your client is currently on the Free Trial, you must select one of the available subscription plans before the trial ends, for them to continue using Apron. You can change to a different plan at any time, but if the Free Trial is still active, the new plan will only take effect once the trial period is over.​
