Set up Gmail auto-forwarding rules

Automatically forward bills from Gmail to Apron using email forwarding rules for seamless document management.

If you receive bills via email from your suppliers, you can set up a rule in Gmail that automatically forwards certain emails to your inbox address in Apron.

Follow these steps to create and activate the rule in Gmail:

  1. Log in to your Gmail account.

  2. Click on Settings, then See all settings

  3. Click on Forwarding and POP/IMAP

  4. Select Add a forwarding address and input your Apron's company direct email address into the pop-up window.

You can find and edit this address in Apron by going to Settings > Company details.

If Gmail sends a confirmation email to the forwarding address, you will be able to see it in your Apron inbox (under the Bookkeeping section) as a PDF document, from which you can confirm auto-forwarding.

If you only want to automatically forward some emails – Go to Settings > Filters and Blocked addresses and select Create new filter.

You can configure the filter in the way that best suits your needs, or you can create multiple rules. Some common use cases are:

  • Use the Has the words filter with the words: 'invoice', 'credit note' or 'bill'.

  • Tick the Has attachment checkbox.

  • Use the From filter and type the addresses of your suppliers.

  • Confirm the selection by clicking on Create filter

  • Tick the box next to Forward it to: and select the email address from the drop-down list

  • Click on Create filter
