Upload a missing document

Learn how to upload supporting documents for transactions assigned to you, using web or the Apron mobile app.

When your accountant or finance team assigns a transaction to you, you'll receive a notification asking you to provide the supporting document, such as a receipt or invoice. Here's how to respond.

How you'll be notified

You'll receive notifications about your assigned transactions through:

  • Email — A summary of all transactions assigned to you that still need documents, with direct links to take action

  • Push notifications — If you have the Apron mobile app installed, you'll receive push reminders

Notifications are sent weekly on Tuesdays, or your accountant can send them manually at any time using "Request now".

Ways to upload a document

Upload directly in Missing documents

On the web:

  1. Click the link in your email notification, or go to Missing documents from the Home page.

  2. Find your assigned transaction and click on it to open the details.

  3. Upload the supporting document (receipt, invoice, or other proof of purchase).

On mobile:

  1. Tap the notification, or open the app and tap "Add X missing documents" in the My tasks section on the Home screen. This task only appears when you have transactions assigned to you.

  2. Tap on the transaction to open the details.

  3. Choose Add document to take a photo of your receipt or select one from your gallery.

Use any other upload method

You can also upload documents via email forwarding, mobile camera, drag and drop, or WhatsApp (See all upload methods)

Apron will automatically match them to the right transaction — the status updates to Uploaded and reminders stop.

Mark a transaction as "No document"

If the receipt is lost or the transaction doesn't come with a document (e.g. TFL, parking), you can mark it as No document.

This:

  • Updates the transaction status to No document

  • Removes it from your outstanding tasks

  • Stops further notifications for this transaction

If you can't find the receipt or need to provide context, you can leave a comment on the transaction. Your accountant will be notified when you respond.
